Booking Terms & Conditions

By making a booking through our platform, you ("the Member" or "the Booker") agree to the following terms and conditions. Please read them carefully before confirming any reservation.

1. Definitions

"Space" refers to the coworking facility and all bookable resources within it, including but not limited to meeting rooms, conference rooms, hot desks, dedicated desks, private offices, event spaces, and shared amenities.

"Booking" refers to any reservation of a resource made through Cobot or any other booking channel we provide.

"We," "us," or "our" refers to the operator of the coworking space.

2. Booking & Confirmation

2.1. All bookings are subject to availability and are confirmed only once you receive a booking confirmation via email or through the membership platform.

2.2. By placing a booking, you confirm that the information you have provided is accurate and complete.

2.3. We reserve the right to decline or cancel any booking at our discretion, including where we reasonably believe a booking may disrupt other members or the operation of the space.

3. Eligible Use

3.1. Bookable resources must be used only for their intended purpose. Meeting rooms are for meetings and professional activities; hot desks are for individual work; event spaces are for pre-approved events.

3.2. All activities conducted on the premises must comply with applicable laws and regulations. Illegal, offensive, or disruptive activities are strictly prohibited.

3.3. You are responsible for the conduct of any guests you bring into the space during your booking.

4. Cancellation & No-Show Policy

4.1. Meeting rooms and event spaces: Cancellations made more than 24 hours before the booking start time will receive a full refund or credit. Cancellations made within 24 hours of the start time will be charged at 100% of the booking fee.

4.2. Hot desks and day passes: Cancellations made more than 12 hours before the booking start time will receive a full refund or credit. Cancellations made within 12 hours will be charged at 100% of the booking fee.

4.3. No-shows: If you fail to arrive within 15 minutes of your booking start time without prior notice, the booking will be treated as a no-show and the full booking fee will apply. The resource may be released for use by other members.

4.4. We reserve the right to amend cancellation windows and fees with reasonable notice.

5. Payment

5.1. Booking fees are as displayed at the time of booking. All prices are inclusive of applicable taxes unless stated otherwise.

5.2. Payment is due at the time of booking unless you hold an active membership plan that includes booking credits or invoiced billing.

5.3. Outstanding payments must be settled within 14 days of the invoice date. We reserve the right to suspend booking privileges for accounts with overdue balances.

5.4. We may charge a late payment fee of 2% per month on any overdue amounts.

6. Use of Facilities & House Rules

6.1. You agree to leave all booked spaces clean, tidy, and in the condition you found them. Any equipment or furniture must be returned to its original position.

6.2. Food and drink are permitted in designated areas only. You are responsible for cleaning up after yourself.

6.3. Noise levels must be kept appropriate to the space. Quiet zones, phone booths, and open-plan areas each have expected conduct standards which must be respected.

6.4. Smoking (including e-cigarettes) is prohibited inside the premises.

6.5. Pets are only permitted where our house rules explicitly allow it.

7. Liability & Damages

7.1. You are liable for any damage to the space, equipment, furniture, or fixtures caused by you or your guests during your booking. We will charge the cost of repair or replacement to your account.

7.2. We are not liable for any loss, theft, or damage to your personal property while on the premises. You are advised not to leave personal belongings unattended.

7.3. To the fullest extent permitted by law, our total liability to you for any claim arising from or related to a booking shall not exceed the amount you paid for that booking.

7.4. We are not liable for any indirect, consequential, or incidental losses, including but not limited to loss of profit, data, or business opportunity.

8. Health & Safety

8.1. You must comply with all health and safety procedures, including fire evacuation procedures, displayed within the space.

8.2. You must report any accidents, hazards, or safety concerns to staff immediately.

8.3. We reserve the right to refuse entry or ask you to leave if we believe your presence poses a risk to health or safety.

9. Data & Privacy

9.1. Personal data collected during the booking process is handled in accordance with our Privacy Policy and applicable data protection legislation.

9.2. CCTV may be in operation in communal areas for security purposes. By using the space, you consent to being recorded in these areas.

10. Changes to These Terms

10.1. We may update these terms from time to time. The latest version will always be available on our booking platform.

10.2. Continued use of our booking services after changes have been published constitutes acceptance of the updated terms.

11. Governing Law

These terms and conditions are governed by and construed in accordance with the laws of Northern Ireland. Any disputes shall be subject to the exclusive jurisdiction of the courts in that jurisdiction.
